What This Privacy Policy Covers

This policy explains how Sigma Nu Fraternity, Inc., Sigma Nu Educational Foundation, Inc., Fifth Point Properties, LLC, and affiliated entities (“Sigma Nu,” “we,” “our,” or “us”) handle personal information collected through www.sigmanu.org, the Sigma Nu Portal, and our email and text messaging services.

Personal information means information that identifies you — such as your name, mailing address, email address, or phone number — and that is not otherwise publicly available. We request personal information when you join Sigma Nu, register for or update your record in the Sigma Nu Portal, make a donation, register for an event, order merchandise, complete a form or survey, make a payment, or request information from us.

This policy does not apply to organizations we do not own or control, or to people we do not employ or manage. Where you provide information directly to one of our vendors or licensed partners, that information is handled under their privacy policies. Our site links to other websites; this policy does not govern those sites or their data practices.


Information We Collect

Information you provide

  • Sigma Nu Portal account information. Name, contact information, chapter and membership details, credentials, and communication preferences.
  • Donations, event registrations, and merchandise orders. Contact information and billing details needed to process and acknowledge your transaction.
  • Forms and surveys. Information collected for the purpose stated on the form.
  • Correspondence. Information you include when you contact us by email, phone, mail, or text.

Some information is required; other information (including demographic and biographical detail) is optional.

Information collected automatically

Like most websites, our servers record log information including IP address, browser type, internet service provider, referring and exit pages, device and platform type, and date and time stamps. We use cookies and similar technologies to keep you signed in, remember preferences, and understand how the site is used. See Cookies and Analytics below.

Information from other sources

We may receive or confirm information about you from your chapter or alumni chapter, from your institution, from licensed vendors and service providers, and from publicly available sources, and may combine it with information already in our records.


The Sigma Nu Portal

Access to member-only resources and services is provided through the Sigma Nu Portal. To use the Portal you must create an account and verify your identity as a member, candidate, volunteer, or other authorized user.

When you register for a Portal account you will be asked to:

  • provide accurate and current contact information;
  • agree to the Application for Membership as a new member;
  • agree to our Terms of Use and this Privacy Policy;
  • create credentials (or authenticate through an approved sign-in method); and
  • set your communication preferences, including whether you wish to receive email and text messages from Sigma Nu.

You are responsible for keeping your credentials confidential and for all activity that occurs under your account. See the Terms of Use for the full account terms.

Certain Portal transactions, including account creation, event registration, and payment of fees or dues, collect additional information, including payment information as described below.


Payments and Financial Information

Payments for dues, fees, donations, event registrations, and merchandise are processed by PCI-DSS compliant third-party payment processors. Card and bank account numbers are transmitted directly to those processors and are not retained on our systems in full. We retain transaction records, such as amounts, and dates, as needed for accounting, receipting, and donor acknowledgment.


How We Use Information

We use the information we collect to:

  • create and maintain your membership record and Portal account;
  • provide the resources, tools, and services you request;
  • process and acknowledge donations, orders, registrations, and payments;
  • send you communications from Sigma Nu Fraternity, Inc. and Sigma Nu Educational Foundation, Inc., subject to your preferences;
  • produce publications and correspondence, including The Delta magazine;
  • support chapter operations, volunteer coordination, and Fraternity governance;
  • respond to your questions and provide account support;
  • analyze site traffic and improve our website and services; and
  • comply with legal obligations and protect the rights, property, and safety of Sigma Nu, our members, and others.

Information Sharing and Disclosure

We do not sell, rent, or trade your personal information.

We may share information in the following circumstances:

  • Service providers. We use vendors to host our systems, process payments, ship orders, and deliver email, mail, and text messages. They receive only the information needed to perform their work and may not use it for any other purpose.
  • Affiliated organizations. We share information with chapters, alumni chapters and clubs, house corporations, and volunteers as needed to support Fraternity operations and your membership.
  • Licensed vendors. Sigma Nu screens and licenses vendors that produce goods and services for members. We may share the contact information necessary for a licensed vendor to notify you of those offerings. You may opt out of these communications.
  • Membership Directory. If you have chosen to make some or all of your information visible in the Membership Directory, other authenticated Portal users may view it, subject to the Terms of Use.
  • Legal requirements. We may disclose information when required by law or legal process, or where we believe in good faith that disclosure is necessary to establish or defend legal claims, to investigate suspected fraud or illegal activity, or to address a threat to anyone’s physical safety.
  • Aggregate information. We may share aggregated, de-identified information that does not identify any individual.

We do not sell, rent, loan, trade, lease, or otherwise transfer for profit any phone numbers or customer information collected through our text messaging service to any third party. Mobile opt-in information and consent status are never shared with third parties for their own marketing purposes.


Communications and Your Preferences

Account and service messages

When you create a Portal account, we send a confirmation message. We also send occasional service messages, for example, notice of scheduled maintenance or a security issue. These are not promotional, and you cannot opt out of them while you hold an active account.

Email

Sigma Nu sends members and donors newsletters, solicitations, event information, and general Fraternity news. You may manage your email preferences in the Sigma Nu Portal or use the unsubscribe link at the bottom of any Sigma Nu email.

Postal mail and The Delta

We use your contact information to produce the mailing list for The Delta magazine and other printed correspondence. You may opt out of the printed magazine, choose to receive it electronically, or opt out of other mailings by updating your preferences in the Portal or contacting Headquarters.

Text messaging (SMS)

Where you have opted in, Sigma Nu may send you text messages related to your membership, volunteer role, registration, or account. Consent to receive text messages is never a condition of membership or of purchasing anything from us.

We use the information you provide through the text messaging service only to send and respond to your messages. This may include sharing information with platform providers, telecommunications carriers, and other vendors that help us deliver messages. Mobile opt-in information will not be shared with third parties.

You may opt out at any time by replying STOP to any message. Full details, including message frequency and rates, are in our SMS Terms of Use.


Membership Directory

The Membership Directory is available only to authenticated Sigma Nu Portal users. You control which of your details appear in the Directory through your Portal preferences. Directory information is provided for personal and affiliated-organization use only and may not be used for any commercial purpose. Misuse of Directory information will result in termination of access and may result in legal action.


Cookies and Analytics

We use cookies and similar technologies on www.sigmanu.org and in the Sigma Nu Portal.

  • Essential cookies keep you signed in and allow core site functions to work. The site will not function properly without them.
  • Preference cookies remember choices you have made.
  • Analytics cookies help us understand how the site is used so we can improve it.

You can control cookies through your browser settings, and through our cookie preferences tool. Rejecting non-essential cookies will not prevent you from browsing the public site, but may affect Portal functionality.


Security

We take reasonable and appropriate measures to protect personal information, both online and offline. Information submitted through our forms is transmitted over encrypted connections. Access to member records is restricted to employees and authorized volunteers who need it to perform their duties, and our systems are protected by access controls and monitoring consistent with industry standards. Staff are trained on our privacy and security practices.

No method of transmission or storage is completely secure, and we cannot guarantee absolute security.


Data Retention

We retain membership records for the life of the membership and thereafter as part of the permanent historical record of the Fraternity. Transaction and donation records are retained as required for accounting, tax, and audit purposes. Website log data and analytics data are retained for a limited period consistent with our operational needs.


Your Choices and Rights

You may:

  • review and update your contact information and preferences in the Sigma Nu Portal, or by contacting Headquarters;
  • opt out of marketing email, printed mailings, licensed-vendor communications, and text messages;
  • control what appears about you in the Membership Directory; and
  • request a copy of the personal information we hold about you, or ask us to correct it.

Depending on where you live, you may have additional rights under state or international privacy law, including the right to know what personal information we collect, to request deletion, to correct inaccuracies, and to be free from discrimination for exercising those rights. We do not sell personal information and we do not share it for cross-context behavioral advertising.

To make a request, contact us using the information below. We may need to verify your identity before responding. Note that certain records, including permanent membership records and records we are required to keep, may not be deleted.


Children’s Privacy

Our website and the Sigma Nu Portal are not directed to children under 13, and we do not knowingly collect personal information from them. Prospective member forms are intended for individuals who are enrolled in or preparing to enroll in college. If you believe a child under 13 has provided us personal information, contact us and we will delete it.


Links to Other Websites

Our site contains links to sites we do not control, including chapter sites, vendor sites, and partner platforms. We are not responsible for their content or privacy practices. We encourage you to review the privacy policy of any site you visit.


Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the “Last updated” date above and post a notice on this page and elsewhere on the site as appropriate. Significant changes affecting how we treat personal information will also be communicated by email to the address on your Portal account.
